SEPA direct debit through your bank

How a club working in euros collects fees by direct debit through its own bank — families' mandates, the file for online banking (pain.008, compatible with Spain's Cuaderno 19.14), marking it collected, and returns.

For: owner, manager, parents

Many clubs collect fees by direct debit: once a month the club's bank takes the money from families' accounts. Stanio Sport prepares the file you upload to the club's online banking and, once the bank has collected, records the payments. The money goes straight from the family's account to the club's — Stanio never touches it, and only your bank charges a fee. This is not the same as SEPA through Stripe in online payments.

Who can

Setting it up, creating files and marking them collected: the owner and managers. Parents sign and cancel the mandate for their child in the parent portal. It works only for clubs that work in euros.

Setting up

  1. Open Club settings → Money → SEPA via your bank.
  2. Fill in the Creditor name (as your bank has it), the SEPA creditor identifier — in Spain: ES, 2 check digits, 000 and the club's NIF/CIF; your bank gives it to you when you arrange direct debits — the Club IBAN and, if you like, the BIC.
  3. Choose the Collection day (the suggested date starts from it) and the Mandate reference prefix: mandates get references like CDT-000001.
  4. Click Save. Stanio checks the IBAN's and the identifier's check digits, so a typo shows straight away.

The scheme is CORE (personal accounts).

Mandates

A mandate is the account holder's permission to be debited. Without one, the bank will not accept the debit.

  • Parents sign it themselves: in the portal, on the child's page with the payments — Pay by direct debit (SEPA) → Sign mandate. They read the mandate text (in the club's language and in Spanish), enter the account holder and the IBAN, and tick to accept. The reference and the signing date are added automatically, with the IP address and browser, as for other consents.
  • From a paper form: on the player's card, Subscriptions and payments tab, SEPA mandate card → + Add mandate from a paper form: the account holder, the IBAN and the date it was signed.

The IBAN is only ever shown masked — ES91 **** … 1332. In full it goes only into the bank file. A new mandate replaces the one in force; both parents and the club can Cancel mandate.

Creating the bank file

  1. Finance → SEPA. Check the Collection date and click Show who will be debited.
  2. The list shows the children with a mandate and what they owe by that date (as in Debtors): subscriptions and one-off charges dated on or before the collection day. Below, Not included: who owes but has no mandate, who owes nothing, and who is already in another file.
  3. Untick anyone you are not collecting from this time and click Create file.
  4. Download file (pain.008) and upload it to the club's online banking.

The file is pain.008.001.02 XML, which Spanish banks accept: it is what the XML format of Cuaderno 19.14 is based on. A mandate's first debit goes as FRST, the next ones as RCUR. If you did not upload the file, Cancel file and the amounts move to the next one.

After the bank collects

Once the bank has collected, open the file and click Collected. Everyone in it gets a "SEPA debit" payment dated the collection day, their debt is cleared, and receipts work as for any payment. Clicking it again duplicates nothing.

If the bank returns a debit, click Returned by the bank next to the child and pick the reason if you know it (insufficient funds, account closed…). The payment is cancelled, the debt comes back, and that child's next debit goes as a first one again.

FAQ

How long are bank details kept? A cancelled mandate is deleted 14 months after its last collection. A mandate not used for 36 months expires and must be signed again.

Parents don't see "Pay by direct debit"? Check that the settings are saved with Offer families payment by direct debit ticked and that the club's currency is the euro.
