Activities
How a centre that runs several activities (football, chess, English, ceramics) groups its teams by activity, with a colour in the schedule, filters, price plans and finance per activity, the club page and trial requests.
For: owner, manager
An activity sits above your groups: football, chess, English, ceramics. Each activity has its own colour, which marks its groups and sessions in the schedule, its own price plans, and its own figures in finance and reports. A club with one sport doesn't need activities, and until you add one, none of this shows up.
Who can
The owner, support and managers add, edit and archive activities. Coaches see the colours, chips and filters but can't create activities.
Add activities
Open Club settings → Activities (in the app: Menu → Club settings → Activities) and tap + Add activity.
Type a Name and pick a Colour. A new activity takes the next free colour of the palette; you can change it at any time.
Each activity shows how many groups and price plans it has. Edit changes the name and colour. Archive removes it from the choice for new groups and plans, while those already in it keep it; Restore brings it back. Activities are never deleted, only archived.
Put groups and plans in an activity
- A group: in the new group form or in Team settings, pick the Activity. The one you need isn't there? The last line, + New activity…, creates it on the spot without losing what you've typed.
- A price plan: Club settings → Price plans, the Activity field. No activity means the plan is for every activity.
- Until the club has an activity, these forms only show a small + activity link.
What changes
Groups are listed by activity, with a colour stripe and the activity's name, and an Activity filter (All activities, each one, No activity).
Schedule: session cards get a stripe and a light tint in the activity's colour (a coloured dot in the month view), plus an Activity filter. The group's and the session's headers show the activity chip too.
Selling a subscription: the plan list starts with the plans of the player's activities, then For all activities, then Other activities. Any plan can still be sold.
Finance: an Activity filter on Overview, Payments and Debtors. A payment belongs to the activity of the subscription's price plan; if the plan has none, to the activity of the subscription's group, and without a group to the activity of the player's groups when there is just one. Everything else is No activity. A debtor counts in every activity where they have a subscription or a group. Other income and expenses (rent, wages) aren't split by activity: on Overview they are for the whole club.
Reports: Finance → Payments → Breakdown has a By activity card; Reports → Leads has By activity and Sources by activity. There is also a separate Reports → Activities report: groups, people in rosters, sessions, hours and attendance for the month.
Club page: once at least two activities have a group or a price, the page gets chips at the top (All and one per activity), the timetable and prices are shown in activity blocks, and each activity has its own Book a trial session button. See Club page.
Trial requests: the trial form gets an Activity field (the first choice is Not sure yet), the leads list shows the colour and has a filter, and the notification reads "New request — Karate: …". See Trial requests.
Multi-activity centre
There is a club type for learning centres. When you create the club, click + I'm a trainer or a studio, choose A studio or school (not sport) under You are, then Multi-activity centre in the Subject field. Such a club has students and teachers, and until it has activities, a manager sees an Add activities → hint on the groups list.
Activities work in a club of any type, though: football and swimming in one sports club, for example.
Tips
- Set up your activities before your price plans, so the right plans come first when you sell.
- A new group or plan created from a list filtered by an activity starts in that activity.
- Two activities can share a colour, but the schedule is harder to read.
FAQ
Can I turn my club into a Multi-activity centre later?
No, the club type is chosen when the club is created. Activities work in any club, though: add them in Club settings → Activities.
Why did a payment land in "No activity"?
Neither the subscription's plan nor its group has an activity, and the player trains in groups of several activities (or in none). Give the plan an activity and new payments for it will go to the right place.
What happens to the groups if I archive an activity?
Nothing: groups and plans keep it, and their colours stay in the schedule. Only new groups and plans can't choose it any more.
